Tax Information for Employees

The federal filing deadline for 2023 income taxes is April 15, 2024. As of January 25, 2024, State income tax filing deadlines are as follows:

  • Maryland—April 15, 2024
  • District of Columbia—April 15, 2024
  • Virginia—May 1, 2024
  • West Virginia—April 15, 2024
  • Pennsylvania—April 15, 2024

About Your 2023 W-2

 Six Things to Know About Your W-2 and Tax Withholding (PDF)  

Wage and Tax Statement (W-2 Form) Distribution

The calendar year 2023 W-2 tax form will be distributed electronically in January 2024. Those employees who authorized web delivery of their tax forms can expect to access their W-2s sooner than those who opted to receive a hard copy.

The form should be checked for accuracy. Update your address, as needed, by visiting Employee Self-Service (ESS) and clicking on My address change* under the orange My Information banner. Name or Social Security number changes need to be submitted on MCPS Form 445-1A, Changes in Personal Information for MCPS Employees to the Employee and Retiree Service Center (ERSC). An incorrect name spelling or address does not invalidate the W-2 form.

A separate W-2 will be issued to employees who had state income taxes withheld from more than two states. Tax-sheltered annuity deductions are excluded from gross wages for Maryland, Virginia, West Virginia, and the District of Columbia, but not for Pennsylvania.

Duplicate W-2 Forms

If you do not receive your W-2, or misplace your W-2, you must download and print a copy via the Employee Self-Service (ESS) web page. Review disclosure statement and detailed instructions for obtaining a duplicate W-2 online.

Worker's Compensation Payments

Worker's compensation payments are not considered wages and are not included on the W-2 form. The W-2 has been adjusted to exclude worker's compensation payments and the refunded taxes.

About Your 2023 1095-C

The Patient Protection and Affordable Care Act (ACA) requires employers to send Form 1095-C to certain employees. If you are an MCPS employee who worked an average of 30 or more hours per week and/or was enrolled in an MCPS-provided medical insurance plan at any time during 2023, you will receive a Form 1095-C. Form 1095-Cs will be mailed by March 1, 2024.

If you receive a 1095-C, it will contain important information about your health care coverage in 2023. The form serves as proof of insurance for the Internal Revenue Service (IRS). Although you may choose to submit your 1095-C to the Internal Revenue Service (IRS) with your 2023 income tax return, you are not required to. Therefore, should you submit your tax return prior to receiving your 1095-C, you will NOT need to amend your tax return to include it. MCPS will submit the information from your 1095-C to the IRS.

As with your W-2, be sure to check your 1095-C for accuracy.
