PTA Position Descriptions
Executive Board
Officers may hold position for two years only. Attendance at monthly PTA meetings is strongly recommended.
President – Channel information received from the Maryland PTA and Montgomery County PTA (MCCPTA) to WGES PTA members. Conduct monthly PTA meetings. Provide guidance to committees. Primary liaison between principal and PTA members. Co-sign all checks.
Vice President – Serve as president when president is absent. Will consider becoming president at end of tenure. May co-sign checks.
Corresponding Secretary – Handle all PTA correspondence. Distribute flyers to publicize monthly PTA meetings.
Recording Secretary – Write and publish the minutes of all PTA meetings.
Treasurer – Assist in preparing budget, pay bills and prepare taxes, maintain records of all PTA funds. Primary signature on all checks. Prepare and review monthly report for members at every PTA meeting.
MCCPTA Representative – Attend monthly county (MCCPTA) meeting and report back to WGES PTA any information regarding our cluster or school.
Committees
It is helpful to appoint a Committee Chairperson for each committee. We would like to see at least two people on every committee (some require up to four). Attendance of committee chairs at monthly PTA meetings is certainly not required but is recommended.
Bake Sales – Organize and run bake sales for election days, school events, and spring fair.
Book Fair – Organize school-wide book fair. Coordinate scheduling of volunteers. Handle money and receipts.
Box Tops/Campbell’s Labels – Promote and organize contests and rewards. Submit articles to PTA newsletter. Collect, count, prepare, & send in Box Tops & labels. Comply with company rules and deadlines for reimbursements.
Bulletin Board – Create & maintain bulletin board in front hallway. Update as needed.
Cultural Arts – Attend and review showcase program to select artist(s) for school assembly. Schedule performance date with school.
FLES (Foreign Language in Elementary Schools) – Coordinate student enrollment and payments for foreign language classes. Provide information for parents and submit articles for PTA newsletter.
Great Books – Meet with students once a week for book discussion. Minimal training is required.
Grocery Store Programs – Generate flyers to register family grocery store cards (Giant and Safeway). Cards must be re-registered every year.
Hands On Science – Coordinate enrollment of this after school program. Prepare flyers and handle payments.
Hospitality – Welcome new families to the WGES community. Coordinate name tags and refreshments for monthly PTA meetings. May do school bulletin board in front entrance.
Historian – Maintain photos/scrapbook of the school year. Include class parties, field trips, award ceremonies, etc.
Ice Cream Social – Coordinate annual event held in conjunction with book fair. Schedule volunteer help and solicit classes for ice cream toppings.
Literary Magazine – Edit and publish student works in the WGES In Our Own Words.
Membership – Promote new PTA membership, collect dues, help distribute school directories. Work with treasurer to ensure county and state dues are paid.
News Reporter – Write and submit monthly articles about WGES activities to local Gazette.
PTA Newsletter – Request articles from PTA president and any active committees. Edit, publish, and distribute monthly Cougar Courier.
Science Courtyard – Maintain and enhance school courtyard as an outdoor science center.
School Beautification – Organize an outdoor project to improve the exterior of the school. Can be planting flowers or bulbs or an approved project.
School Directory – Work with school to collect family information and compile it into directory format. Edit, publish, and help distribute.
School Store – Coordinate the purchasing/selling of school supplies to students and teachers two mornings a week.
Spirit Wear – Promote sales of WGES t-shirts, bags, etc. with flyers and Cougar articles. Set up table at school events to sell items. Handle money and receipts. Provide ideas and coordinate order for new items according to budget.
Spring Fair – Organize and head the school fair in the spring. Oversee sub-committees such as silent auction, food booth, volunteers.
Volunteer Coordinator – Coordinate volunteer activities in school. Help promote parent involvement. Recruit volunteers. Prepare necessary flyers and submit monthly article for PTA newsletter.
