How to Make a Reservation

STEP 1: Review the Board Room and Board Conference Room calendars to determine availability. Decide which room is appropriate for your use. Both rooms are equipped for use with your computer or laptop. An overhead projector and projection screen also are available.

• The Board Room (Rm. 114)
  • The Board room is always reserved beginning at 2:00 p.m. on the day before a regularly scheduled Board meeting.
  • Seats an audience of 81, theater-style, around a round table that seats 18.
  • Food and drink are not allowed in the Board Room.
• The Board Conference Room (Rm. 120)
  • Seats 20 people around a large conference table.
  • Refreshments may be served in the Board Conference Room.

STEP 2: Send an e-mail to Cathy Bertin, Secretary in the Office of the Superintendent of Schools (Cathy_E_Bertin@mcpsmd.org). Please include the following information:

• Which room you want to reserve
  • Board Room: Room 114
  • Board Conference Room: Room 120
• The date you want to reserve
• Your desired time frame
  • For example: 9:00 a.m. to 11:00 a.m.
• Your name
• Your telephone number
• The purpose for the reservation

Ms. Bertin will confirm with you by e-mail/telephone. Please remember that these reservations do occasionally get pre-empted by the Board of Education or the Superintendent of Schools. If this would present a problem, you may wish to seek an alternative space. You will be notified as soon as possible if your meeting is pre-empted.

To avoid any conflicts, it is imperative that any changes to reservations be made through Cathy Bertin

STEP 3: Confirm your reservation. You must confirm your reservation via e-mail 48 hours prior to the event.

Audio or Video Equipment
You must make arrangements for special audio equipment through Multimedia Services, Monday through Friday, at 301-279-3103.

After Your Meeting
Please leave the room as you found it.
