OFFICIAL TITLE: Secretary CODE: 4120
WORKING TITLE: GRADE: 12
SUMMARY DESCRIPTION OF CLASSIFICATION: Under general supervision, performs varied office and secretarial work for a unit supervisor or equivalent level position. The class consists of positions serving as the principal office support for supervisory staff at the unit level. This level is the first full secretarial level in the non school-based secretarial series. After familiarization with the work, terminology and procedures, employees exercise initiative by performing and following through independently on a variety of matters requiring an understanding of the unit programs and related organizational units and functions of MCPS. Positions require good office clerical skills.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, ABILITIES, AND SKILLS:

This position requires knowledge of all of the seven core competencies of the Supporting Services Professional Growth System (SSPGS) to include commitment to students, knowledge of job, professionalism, interpersonal, communication, organization, and problem solving. Considerable knowledge of business English, general vocabulary, spelling, and arithmetic. Working knowledge of secretarial procedures. Working knowledge of modern office practices and procedures.  Ability to provide timely and accurate office support services to staff, compose routine office correspondence, setup and maintain office files, and manage office support services. Ability to operate computer terminals and similar office equipment. Ability to communicate effectively. Skill in the proficient operation of a typewriter, of a computer terminal to perform word processing or data system tasks, and of other office equipment.

EDUCATION, TRAINING, AND EXPERIENCE: Graduation from high school, including or supplemented by courses in typing, and experience in performing responsible clerical and secretarial work. Other combinations of applicable education, training, and experience which provide the knowledge, abilities; and skills necessary to perform effectively in the position may be considered.
CERTIFICATE AND LICENSE REQUIREMENTS: None
PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) Positions typically require sustained operation of keyboard devices.
SPECIAL REQUIREMENTS: (Frequent overtime or night work required, etc.) Completion of the MCPS Typing Test at the required score.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

  • Keeps calendars and commits supervisor's and/or staff to appointments.
  • Makes travel arrangements and processes travel vouchers.
  • Receives, logs-in, screens and routes mail.
  • Answers telephones and takes messages, screening and routing calls to supervisors and staff.
  • Attends meetings and takes notes.
  • Sets up and maintains unit files.
  • Researches and compiles information for reports and other purposes.
  • Prepares written materials from drafts, verbal instructions or on own. 
  • Initiates actions to keep supervisor and staff informed of unit operations.
  • Assembles files and data for meetings. Arranges meetings and coordinates schedules of supervisor, staff and others. 
  • Maintains unit correspondence controls such as tickler files.
  • Follows upon assigned responses, due dates, reviewers and signatures.    
  • Receives and screens visitors to office, answers inquiries regarding unit operations, assists callers with requests by explaining procedures. 
  • Performs skilled word processing by producing a variety of documents (letters, memos, reports, psychological evaluations, bid documents, announcements, forms, etc.) from rough draft copy, machine dictation, verbal instructions, sketches and brief notes.
  • Utilizes full capability of equipment to create style sheets, move or merge text, check spelling, do arithmetic, create mailing lists and form letters.
  • Produces charts, graphs and tables.
  • Maintains electronic data files of documents following established procedures for creating backup files, purging files, and storing files. 
  • Keeps unit accounts using manual or computerized recordkeeping systems.
  • Maintains budget accounts, checking accounts, purchase order files, inventory accounts.
  • Computes totals, percentages and other amounts.
  • Balances accounts and prepares account summaries. 
  • Answers inquiries regarding programs and services, explaining requirements and assisting callers in completing forms or other actions.
  • Maintains office or unit records for program and processes actions. 
  • Maintains office supplies.
  • Arranges for equipment service.
  • Arranges for building service assistance as needed. 
  • Performs related work as required.
